The New Carlisle-Olive Township Public Library (NCPL) welcomes public use of its facilities and meeting room to serve the community’s needs. Rooms are available equally to all persons, regardless of their race, sex, color, age, beliefs, affiliations, or other protected characteristics or status. Granting the use of library facilities does not imply approval by NCPL of the group that is meeting or the ideas presented at the meeting.

Library business and activities have priority for room bookings. Other groups may be moved or canceled to accommodate library needs.

In case of emergency, inclement weather, or power outage, NCPL may be closed. There will be announcements on WNDU, WSBT, NCPL’s website, and Facebook page.

Reservable Spaces 

  1. Main Meeting Room – capacity of 127 theater style or 84 classroom style.  The room is equipped with a kitchenette (sink, refrigerator, coffee maker), a ceiling-mounted projector for presentations using a laptop or Apple device, and a microphone (available on request).
  2. Activity Room – Capacity of 25.  A 60” monitor is available to present using a laptop or Apple device.
  3. Conference room – Capacity of 12. A 55” monitor is available to present using a laptop or Apple device.  
  4. Study Rooms – Each of the two study rooms has a capacity of 4.

Booking

  1. Adults over the age of 18 can book a reservable space. 
  2. Reservable spaces may be booked online, in person or by telephone up to 90 days in advance. 
  3. Use of the reservable spaces must be during regular open days and hours.
  1. Buying or selling of products or services is not permitted.  
  2. Admission may not be charged to those attending the function in the reservable space, nor may collections or donations be accepted.    
  3. Alcoholic beverages are prohibited. 
  4. No open flame including candles. 
  5. No glitter/confetti or pinatas. 
  6. Nothing may be affixed to the drywall, windows, fans or ceilings.  
  7. A tackable surface is available for decorations. 
  8. The individual reserving the room accepts financial responsibility for any damage to library property incurred during the use of the room. 
  9. The library reserves the right to deny future reservations or limit room usage to any group or individual who does not follow library policies.  
  10. NCPL’s Code of Conduct policy applies to the use of the reserved spaces.
  11. Children and teens in a reservable space must be supervised by an adult ages 18 or older. 
  12. If use of the space is not needed, the library should be notified at the earliest possible time.  Future reservations may be denied to any group who fails to show up without prior notification. 
  13. If a user does not show up for a room reservation within 30 minutes of the reservation start time, the room may be given to another patron. 
  14. Set up and clean up is the responsibility of the group.  
  15. Reserved spaces must be returned to the state in which they were found.
  16. Equipment, supplies or personal effects may not be stored at the library before or after the event/function.  
  17. A vacuum and basic cleaning supplies are available for use. 
  18. Rooms must be vacated 15 minutes prior to the time the library closes. 
  19. Meetings shall conform to all local, state and federal laws.

Reservable Spaces are without charge to the following:

  1. Non-profit organizations
  2. Olive Township Residents (except for-profits)
  3. Users of the Conference or Study Room spaces 

Reservable Spaces are charged at the rate of Meeting Room-$50 and Activity Room $25 to the following:

  1. Persons not residing in Olive Township 
  2. For-Profit Organizations/Companies

Fees must be paid the day of.

Any group that does not return the room to its original condition may be charged a $50 cleaning fee.  

Damage to the room will be billed at cost.

Groups or individuals using the reservable spaces may not imply that the event is sponsored, cosponsored, or endorsed by NCPL in any such advertising or publicity material and must include a disclaimer to this effect.

Groups and organizations may use the street address of the library as the location of the event and a line stating, “…at the New Carlisle-Olive Township Public Library” The name, address, or telephone number of NCPL may not be used as the official address for the group. 

Groups using the reservable spaces may not instruct their invitees to contact NCPL for information regarding non-library-sponsored events. Library staff is unable to relay messages or transfer telephone calls to patrons or meeting room guests except in the case of an emergency.
